Background

Ezintsha is a group of South African academics and health professionals who work with partners around the world. We apply new technology to health-related problems, and work to extend access to effective drugs in order for quality health care and medicine to be provided to everyone. Ezintsha was formed in 2019 and is a sub-division of Wits Reproductive Health & HIV Institute, which is part of the University of the Witwatersrand, based in Johannesburg, South Africa.

Main purpose of the job

To provide general administrative and oversight support to the team.

Location – Johannesburg (Ezintsha sites)

Key performance areas include:

Reimbursement of participants’ using eWallet for all Ezintsha sites
Handling of petty cash in line with policies
Coordination and scheduling of relevant appointments, trainings and meetings
Liaising with IT and operations department to log queries on all matters relating to IT support functions and general site maintenance
Control of office stationery, consumables and equipment consumption
Maintaining a systematic electronic filing system including documentation safe keeping
Assisting in the preparation of reports and presentations
Taking of minutes at relevant meetings and dissemination within 5 working days
Making relevant copies of documents and filing them accordingly
Sending out training invitations, collating RSVP`s, preparing attendance registers and keeping record of all attendees
Screening enquiries or requests from staff and participants and addressing them accordingly
Arranging for network points and WhatsApp Cellphone connections for all the new staff members and inclusion into team chat groups
Ordering of patients’ sandwiches and coordinating distribution among relevant sites and participants.
Serve as Back up for driving and participant retention duties Maintain a systematic electronic/paper-based filing system including the safe keeping of important project documents
Managing daily logs in accordance with GCP standard and SOPs
Compiling and completing FNB recons
Maintaining a calendar of events for all activities within the project.
Assisting in preparing reports and presentations
Coordinating and be involved in annual records management and patient waiting time surveys in the facility
Assisting with records management quality improvement projects
Take ownership and accountability for tasks and demonstrate effective self-management.
Follow through to ensure that quality and productivity standards of own work are consistently and accurately maintained.
Maintain a positive attitude and respond openly to feedback.
Take ownership for driving own career development by participating in on-going training and development activities e.g. workshops, conferences etc.
Apply knowledge of the organizational systems, structures, policies and procedures to achieve results.
Provide appropriate resolution for tasks or deadlines not met.

Required minimum education and training

Grade 12
MS Office proficiency
Valid South African driver’s license
Required minimum work experience

2 years related work experience
Previous work experience in a donor-funded/non-profit organization will be an advantage
Desirable additional education, work experience and personal abilities

Exceptional, organizational and administrative skills
Time management
Ability to work independently
Attention to detail and quality
Good written and verbal communications skills
Self-motivated and able to work as part of a multi-disciplinary team
